Traditional vs AI-assisted tender intelligence

A tender review starts well before a bid is written. Your team searches notices, checks requirements and compares the shortlist. Ranked opportunities and clear fit explanations could cut some of that work.

For this example, a team reviews 40 opportunities a month at £35 per staff hour. Each manual review takes 40 minutes. An assisted review takes 23 minutes, including five extra minutes to check the results. These timings exclude tender-pack analysis and bid writing.

Opportunities reviewed480480
Time per review40 min23 min
Annual review hours320 hours184 hours
Review time valued at £35/hour£11,200£6,440

That saves 136 review hours in this example. The team could use that time to research buyers, assess more tenders or prepare proposals.

Breaking down the costs

What remains after the assumed costs
ItemAnnual value
Time saved: 136 hours × £35£4,760
Setup and maintenance: 12 hours × £35−£420
Assumed software cost: £200 × 12−£2,400
Estimated time-value balance after costs£1,940

After setup, 124 hours remain for other work. The software cost is an assumption, not a TenderSNAP plan quote. Check current plans and applicable terms.

The £1,940 balance values the time saved after the assumed costs. It becomes a cash saving only if spending actually falls. It is not a measured financial return.

Check the calculations and a less favourable case
  • Manual workload: 480 × 40 ÷ 60 = 320 hours.
  • Assisted workload: 480 × 23 ÷ 60 = 184 hours.
  • Time saved: 320 − 184 = 136 hours. At £35 per hour, that is £4,760.
  • After costs: £4,760 − £420 − £2,400 = £1,940.
  • If discovery and comparison take no less time, checking the results and setup add 52 hours. With the same software cost, the balance is −£4,220.

Other ways businesses could benefit

More opportunities considered

Time saved on reviews could let your team assess more relevant tenders. Submitting extra bids still needs people, evidence and specialist skills.

Better bid/no-bid decisions

Company Profile-based explanations help your team decide which opportunities deserve a closer look. A fit score indicates relevance. It does not predict whether you will win.

  1. Time savedLess repeated searching and comparison
  2. Research and decisionsResearch, assess and prioritise
  3. Bids the team can deliverCheck eligibility, people and evidence
Before taking on extra bids, check that the team has the time and skills to prepare them.

Hypothetical business case: pursuing more opportunities

In a separate example, suppose a business has the people and resources to pursue 10 additional bids. Assume a 20% win probability, £100,000 average contract value and 15% gross margin.

What the assumptions imply
CalculationExpected value
10 bids × 20% assumed win probability2 expected wins
2 × £100,000 contract value£200,000 expected contract value
£200,000 × 15% assumed gross margin£30,000 expected gross profit

Expected wins are not guaranteed wins. This is a hypothetical calculation, not a TenderSNAP customer result. Outcomes depend on the team's ability to submit bids, eligibility, competitiveness and tender quality. The ten extra bids are a separate assumption, not a result calculated from the 136 hours saved.

The £30,000 assumes the full contract value is earned over the delivery terms. It is before bid costs and overheads. The £200,000 is contract value, not profit or revenue earned immediately. Keep it separate from the staff-time calculation. Neither figure is a proven financial return.

Benefits beyond the numbers

  • Earlier discovery could leave more time to assess requirements and prepare a response.
  • Earlier eligibility checks could expose mandatory conditions before significant bid effort is committed.
  • Clearer priorities and earlier risk checks could help the team focus proposal work on suitable opportunities.

These changes could support better bid preparation. They do not establish that TenderSNAP improves win rates.

Making the investment decision

  1. Measure how long your team spends finding, qualifying and comparing a representative set of tenders.
  2. Include time spent checking results, updating the Company Profile and waiting for processing, plus software costs.
  3. Decide how to use the time saved and who could prepare any extra bids.
  4. Compare actual results with your assumptions, including reviews that need correcting.

Keep the value of staff time, cash savings, contract revenue and gross profit separate. To assess actual financial ROI, use benefits the business has received, can reasonably attribute to the investment and can compare with its full costs. These examples do not promise a payback period.
