What is a Company Profile?

A Company Profile records what your business supplies, its capabilities, relevant experience and delivery boundaries. It can include target markets, regions, contract preferences and exclusions. TenderSNAP uses this information when assessing opportunity relevance. Keeping the profile accurate gives your team a clearer basis for reviewing matches and identifying information that needs checking.

Finding and assessing tenders

Where does TenderSNAP find procurement opportunities?

TenderSNAP uses supported public procurement sources. Supported sources include Find a Tender, Contracts Finder, Public Contracts Scotland, Sell2Wales and TED, but availability varies by workspace. We confirm the sources available for your agreed setup. Published information can be incomplete or change, so check the original notice before acting.

How does Opportunity Fit work?

Opportunity Fit assesses an opportunity against your Company Profile and the available tender information. It brings together a relevance score, the reasons behind it, risks and information that remains uncertain. The score helps prioritise your review; it is not a probability of winning and does not confirm that you meet every eligibility requirement.

Does TenderSNAP automatically decide whether we should bid?

No. Your team makes the bid/no-bid decision. TenderSNAP helps organise the information needed for that decision, including profile relevance, requirements, risks and supporting evidence. You still need to check eligibility, delivery capacity, commercial suitability and submission obligations. Automated assessments can contain errors or omissions and should be reviewed before you commit bid time.

Can we compare multiple opportunities?

Yes. The comparison workspace supports up to four opportunities side by side. It helps your team review key differences without repeatedly moving between notices or assembling a separate comparison. The information available depends on the underlying records, and missing values or unclear requirements still need checking against the original tender information.

Can TenderSNAP help us track opportunities?

Yes. TenderSNAP supports saving opportunities for review, recording notes and tracking review activity. These tools help your team keep relevant opportunities together while deciding what to pursue. Any additional pipeline stages, CRM functions, reporting or team workflows are agreed as part of the deployment scope rather than assumed to be included in every workspace.

What does Tender Intelligence analyse?

Tender Intelligence reviews supported tender documents to identify requirements, risks and supporting references. It organises findings into a structured review and briefing. Available files, readable content and the enabled analysis workflow affect what it can assess. It does not replace a complete bid review or guarantee that every requirement has been found.

Which document formats and upload limits apply?

Supported formats and limits are shown in the document upload workspace and confirmed for your deployment. Different document workflows can support different file types, so use the formats listed in your enabled upload workspace. Scanned or unreadable documents may need manual review. Confirm the enabled workflow before relying on a particular format or pack size.

How do we verify findings against original documents?

Use the source references alongside the findings to check the original documents. Review important requirements, dates, eligibility conditions and supporting evidence before making a decision or submitting a bid. A reference helps trace a finding; it does not prove that the interpretation is correct or that all relevant material has been covered.

Can TenderSNAP access restricted tender portals?

You must obtain restricted tender documents through an account you are authorised to use. TenderSNAP does not bypass portal authentication. Where the agreed workspace supports uploads, you can provide authorised files for analysis. Check that you have permission to share and process the material before uploading it, especially where documents contain confidential or personal information.

What can Market Intelligence show us?

Market Intelligence helps research public-sector buyers, suppliers and published award history, including available contract and expiry information. Its coverage depends on the records available and enabled sources. Published award values and dates may be missing, qualified or incomplete. Use the original records to confirm material details and avoid treating an inferred expiry as a confirmed new opportunity.

How do we get started with TenderSNAP?

Book a demo to see the platform and discuss your team’s requirements. We use that conversation to understand your tendering workflow, relevant features and any integration or support needs. We can then agree whether a short pilot or a direct commercial agreement and deployment is the right approach for your organisation.

Can we try TenderSNAP before committing?

Depending on your requirements, we may offer a short pilot so your team can evaluate TenderSNAP. A pilot is not automatically available to every prospect. Its access, features, users, usage allowances, support and any charges are agreed individually before it begins. A demo is the starting point for discussing whether a pilot is appropriate.

How long does a pilot last?

A typical pilot runs for approximately seven days, although the duration and scope are agreed in advance. Where a seven-day pilot is arranged, we normally meet afterwards to review how the team used the platform and what it needs next. Different requirements may call for a different evaluation period or a direct deployment.

Is the pilot free?

A pilot is not automatically free. Any charges depend on the agreed scope, team size, expected AI usage, technical setup and support requirements. We confirm the commercial terms before access begins, including any usage allowances or third-party costs. There is no universal pilot price or unlimited analysis allowance.

What happens after a pilot?

We normally arrange a follow-up meeting to review feedback, useful features and operational requirements. This can cover integrations, team access and deployment customisation. If both parties wish to proceed, we agree the commercial terms and delivery scope. A pilot does not automatically commit you to a deployment or create an ongoing subscription.

Do we have to complete a pilot?

No. Where requirements are clear, you can move from a demo directly to a commercial agreement and deployment. A pilot is an optional evaluation step, not a compulsory part of the process. We discuss the approach that suits your team, the proposed solution and the information needed to agree its scope.

We can discuss software configuration, procurement workflows and bespoke integrations as part of your deployment scope. Feasibility, effort and commercial terms depend on the requirements and existing systems. We do not assume that every requested change is possible or included. Agreed deliverables and responsibilities are recorded before work proceeds.

Will we receive our own CRM or workspace?

The intended delivery is an agreed TenderSNAP procurement workspace or bespoke CRM configured around your requirements. Functionality, branding, hosting, access rights, maintenance and support depend on the signed agreement. A bespoke deployment does not automatically include source-code ownership or unlimited custom development; those matters need express agreement.

How long does deployment take?

Deployment time depends on the agreed scope, customer requirements, integrations, technical setup and delivery plan. We discuss the stages and responsibilities during scoping rather than promise a fixed implementation period. Providing the required information and timely feedback helps establish a realistic plan, but dates must be agreed for the particular project.

How much does TenderSNAP cost?

Pricing is bespoke and based on the agreed deployment, team requirements, AI usage, integrations and support. We discuss pricing after understanding the scope, including any relevant hosting or third-party costs. TenderSNAP does not currently publish universal subscription tiers, fixed implementation fees or a single price that applies to every organisation.

Is TenderSNAP a subscription?

Commercial terms are agreed for each deployment. TenderSNAP currently follows a bespoke, demo-led approach rather than a standard self-service subscription model. An arrangement may include different software, hosting, usage and support terms. We confirm payment, duration, renewal and access conditions in the agreement instead of assuming every customer has a monthly subscription or one-time licence.

Can we use a pilot for unlimited analysis?

No unlimited analysis allowance is promised. Pilot access and usage limits are agreed before the evaluation begins and should reflect its purpose, expected users and AI processing needs. Any additional usage, charges or third-party service consumption should be discussed before exceeding those allowances. The pilot is for evaluating the agreed scope.

What happens if we decide not to proceed?

You can decide not to proceed with a deployment after the evaluation. Any agreed pilot charges or other obligations remain governed by the pilot terms. Access expiry and the return, export or deletion of submitted information should be settled before the pilot begins, so both parties understand what happens at the end.

Software access and data handling

How many people can use TenderSNAP?

User access depends on the deployment and licensing arrangement we agree with you. We confirm authorised users, roles and any user limits during scoping. Unlimited users are not automatically included. If team requirements change, discuss the additional access and any related usage or support needs before adding people outside the agreed arrangement.

Can we share access with external organisations?

External access must be expressly permitted by the applicable agreement. A pilot or deployment is provided for agreed users and purposes, so you should not assume that credentials can be shared with partner organisations, subcontractors or other businesses. Tell us about collaboration needs during scoping so appropriate permissions and responsibilities can be considered.

What happens when a pilot ends?

Access and data handling follow the terms agreed for the pilot. We should confirm the end date, any extension, remaining obligations and arrangements for submitted information before the evaluation begins. Continuing access is not automatic. If you proceed, the deployment agreement sets the ongoing scope, permissions and commercial arrangements.

How are customer documents handled?

Document handling depends on the agreed software and processing setup. Before a pilot or deployment, we need to establish what information will be processed, where relevant responsibilities sit and what retention, access, export and deletion terms apply. The website Privacy notice covers website visitors and enquiries; it is not a complete account of customer software processing.

Do customers own their uploaded information?

Uploading information does not by itself transfer all rights in it to TenderSNAP. Customer-provided materials remain subject to their existing rights and the agreement governing their use. You must have permission to provide the material. Processing permissions, confidentiality and any handling of personal data need to be agreed for the pilot or deployment.

Which alert channels are available?

Email alerts can be configured where they are enabled for your workspace. We confirm enabled channels and alert settings for your agreed deployment. If you require Slack, discuss that connection during scoping; do not assume it is already enabled. Your team should still check tender deadlines and updates against the original sources.

Can TenderSNAP integrate with our existing CRM or internal systems?

Bespoke connections can be discussed as part of your requirements. Feasibility depends on the systems, available interfaces, permissions and agreed development scope. There is no promise that every CRM has a ready-made connector or that custom integration work is included automatically. We agree supported connections, responsibilities and any third-party costs before delivery.

Intellectual property and permitted use

Who owns the TenderSNAP software?

TenderSNAP’s software, branding, code and proprietary materials remain subject to their applicable intellectual-property rights and the customer agreement. The treatment of customer-specific configuration, new development and third-party components must be agreed expressly. Receiving a bespoke workspace does not automatically transfer ownership of the underlying platform or grant rights beyond the agreed licence.

Can we reproduce TenderSNAP or use it to build a competing product?

Access does not grant permission to copy protected code, reproduce proprietary materials, disclose confidential information or misuse credentials. The applicable agreement sets permitted use, subject to the law. These protections do not mean TenderSNAP owns every general idea about tender management or all independently created similar functionality. Specific rights and restrictions must be assessed under the agreement and applicable law.

Can TenderSNAP outputs be relied upon without verification?

No. Automated assessments can contain errors or omissions. Your team must check material facts, requirements, deadlines, eligibility and supporting evidence against the original sources before making a decision or submitting a response. TenderSNAP supports that review and does not replace your team’s professional judgement.

Does TenderSNAP guarantee that we will win tenders?

No. TenderSNAP does not guarantee contract awards, revenue or tender success. It helps organise and assess opportunity information, while outcomes depend on factors such as eligibility, delivery capability, pricing, response quality and the buyer’s evaluation. A fit score indicates relevance for review and should not be read as a guaranteed chance of winning.

What are the 75% and 70% figures based on?

The figures are hypothetical planning estimates based on modelled workflows, not measured TenderSNAP customer results. The 75% figure concerns discovery and shortlisting; the 70% figure concerns comparing opportunities. No product-specific customer timing study established these figures. Actual savings depend on the task, available data, Company Profile setup and verification. Neither figure is a guaranteed saving.
